Privacy Policy

This Privacy Policy explains how KN Carriers & Logistics Private Limited (“KN Travels”, “we”, “us”) collects, uses, stores and shares information when you use our mobile applications and web services:

• KN Captain (Android package com.kntravels.driver) — the app used by drivers operating KN Travels vehicles.
• KN Core Connect (Android package com.kntravels.staff) — the self-service app used by KN Travels employees.
• Core Fleet Management — the web application at core.kntravels.in used by KN Travels staff.

These apps are internal business tools. They are intended only for drivers, employees and staff who have a working relationship with KN Travels. You cannot create an account yourself; access is provisioned by KN Travels, and you sign in with the mobile number registered with us.

1. Information we collect

Information you or KN Travels provide

• Identity and contact details — your name, mobile number, employee or driver ID, designation, site or depot, and other details held in KN Travels’ HR and operations records.
• Documents and photos — when you choose to upload them: a profile photo, driver documents (for example licence and ID documents required for compliance), and photographs of bills or receipts attached to expense or purchase requests. Uploads use your device camera or photo library only when you initiate them.
• Work records — trips assigned to you and the trip status updates you submit (reported, reached, completed), attendance punches and regularisation requests, shift and roster information, and finance requests you raise.

Information collected automatically

• Location (approximate and precise). KN Core Connect reads your device location at the moment you punch in or out and sends it with the punch so that attendance can be validated against your assigned site. KN Captain reads your location in the foreground while a trip screen is open to work out your distance from the pickup and drop points and enable the trip action buttons; this is processed on the device. Neither app runs a background location service, and neither collects location when the app is closed. You can revoke location permission at any time in Android settings; the related features will then be unavailable or require manual action.
• Push notification token — a device token issued by Expo/Google so that we can send you notifications about trips, shifts and requests. It is stored against your account and removed when you sign out.
• Technical and security data — sign-in and session records (including time and IP address), app version, device model and operating system version, and error logs, used to keep the service secure and working.

We do not use third-party advertising or analytics SDKs in the mobile apps, and we do not collect your contacts, SMS, call logs or files other than the ones you choose to upload.

2. How we use information

• To operate the transport services and duties assigned to you.
• To record attendance and working time, run rosters and shifts, and process payroll and finance requests.
• To meet legal, safety and client compliance requirements (for example, valid driver documentation).
• To send you service notifications about your work.
• To secure our systems, prevent misuse, and diagnose and fix problems.

We do not sell your information and we do not use it for advertising.

3. How we share information

We share information only as needed to run the service:

• Within KN Travels — with operations, HR, payroll and management staff who need it for their role, subject to role-based access controls.
• Clients — trip-level information (such as driver name, vehicle and trip status) may be visible to the corporate client whose employees you are transporting, as part of the service.
• Service providers — hosting and infrastructure providers, push-notification delivery (Expo, Google Firebase Cloud Messaging), SMS/OTP delivery, and email providers, who process data on our instructions.
• Legal — where required by law, regulation, legal process or a government request, or to protect the rights, safety and property of KN Travels, our clients or others.

4. Data retention

We keep your information for as long as you work with KN Travels and thereafter for as long as required by applicable law, our contractual obligations to clients, and legitimate business needs such as audit, payroll and dispute resolution. Attendance and trip records form part of our statutory business records and are retained accordingly. Push tokens are deleted when you sign out.

5. Security

Data is transmitted over encrypted connections (HTTPS). Access to our systems is restricted by role and protected by authentication. Session credentials on your device are kept in the platform’s secure storage. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information appropriately.

6. Your choices and rights

• Permissions — location, camera, photos and notification permissions can be changed at any time in your Android settings.
• Access and correction — you can view much of your information in the app, and can ask us to correct inaccurate details.
• Deletion — you may request deletion of your account data by contacting us; the steps are on our delete your account data page. We will delete or anonymise information that we are not required to retain for legal, payroll or contractual reasons.
• Sign out — signing out removes your session and push token from the device.

Where the Digital Personal Data Protection Act, 2023 or other applicable law grants you additional rights, you may exercise them by contacting us.

7. Children

Our apps are for working adults engaged with KN Travels and are not directed to children under 18. We do not knowingly collect information from children.

8. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top shows when it last changed. Material changes will be communicated through the apps or by notice to your registered contact details.
